Account Inquiry Unbilled

Unbilled activity for a customer account can be viewed individually through Account Inquiry. The unbilled invoice will include all unbilled activity (period charges, disposal, service activity, miscellaneous, taxes and surcharges) up to and including the Presumed Invoice Date selected.

This document will take you though the illustrated instructions on how to View Unbilled, Unbilled for All Sites, Unbilled for Separate A/R Customer, Unbilled for Pay Rebates Account Type, Modify Unbilled, Modify Service Transaction Type, Modify Period Transaction Type, Modify Unbilled Disposal Trans. and Modify Miscellaneous Transaction Types. View Unbilled

 

  • Check the Unbilled box.
  • Presumed Invoice Date with calendar drop down will appear. Presumed Invoice Date will default to the current date. Click the down arrow to open the calendar selection.
  • Presumed Invoice Date will include Activity, Miscellaneous and Disposal Service charges up to and including the Date selected.
  • Presumed Invoice Date will calculate Period Charges based on the service Billing Cycle Code and Threshold.
  • Click Ok.

  • Unbilled invoice will be in green and beginning with the letter U will be created in the Invoice List.
  • Invoice Details includes the unbilled invoice details. Click on the column header to sort the details ascending or descending based on the details in that column.
  • Unbilled Details Amount summary will be shown below the Balance Summary on the right side of the screen.

  • Unbilled and Paid can be selected together.
  • The Invoice List will populate with both paid invoices and the unbilled invoice.

 

Unbilled for All Sites

 

  • Separate A/R Site accounts have the option to Show All Sites in the Invoice List.
  • Click Unbilled and Show All Sites.
  • An Unbilled invoice will be generated for each site with unbilled activity.
  • The Unbilled invoice number will increase by 1 for each site with unbilled activity and display below each Site subtotal.
  • The Unbilled Details located to the right of the Invoice Details will display the Unbilled Amount for All Sites.

 

Unbilled for Separate A/R Customer

 

  • Unbilled invoices will be generated separately by site.
  • Unbilled invoice numbers will increase by 1 for each separate site invoice. Multiple Unbilled Invoices are likely.
  • Invoice Details will display the unbilled site transactions for the Unbilled Invoice selected in the Invoice List.

 

Unbilled for Pay Rebates Account Type

Accounts that are of the Account Type Pay Rebates in Customer Explorer will generate separate invoices for Positive Transactions and Negative Transactions.

 

  • Receivables and Rebates view options will appear below the Pay Now button on the right side of the screen. Both will be checked by default. Uncheck the box to remove Receivable or Rebate transactions from the Invoice List view.
  • Check Unbilled.
  • Select Presumed Invoice Date.
  • If the account has both positive and negative value transactions, a separate Unbilled invoice will be created for each.
  • Invoice Details grid will display the negative or positive value transactions for the associated invoice.
  • The Unbilled Details will be the total net Amount.

 

Modify Unbilled Transactions

 

When transactions are in an Unbilled status, there may be an option to Modify or Delete the Transaction.

  • Service and Non-Surcharge Misc. Transaction Types can be Modified or Deleted.
  • Period and Disposal Transaction Types can be Modified only.
  • Tax and Surcharge Misc. Transaction Types cannot be Modified or Deleted.

 

With the Unbilled Invoice selected in the Invoice List grid, the Invoice Detail transactions will appear in the lower grid.

  1. In the Trans. Type column, right click on the unbilled transaction to be modified.
  2. The modification context menu will appear.
  • If the Trans. Type selected was a tax or surcharge, a context menu will not appear.
  • If the Trans. Type selected was Service or a Misc. Trans. (non-surcharge), the options to Modify or Delete will appear.
  • If the Trans. Type selected was Period or Disposal, only the option to Modify will appear.

 

Modify Service Transaction Type

  1. Click Modify.
  2. Call Maintenance will open.
  3. Modify the service call as needed.
  4. Click Save.

  • Unbilled Transaction is updated based on the modification.

 

Modify Period Transaction Type

 

  1. Right click on the Period Trans. Type.
  2. Click Modify.
  3. Modify Period Activity window will open.
  4. Modify the Activity field (s).
  5. Click Save.

  • Unbilled Transaction is updated based on the modification.

 

Modify Disposal Transaction Type

 

  1. Right click on the Disposal Trans. Type.
  2. Click Modify.
  3. Add/Modify Disposal Tickets window will open.
  4. Modify, Delete or Save & Add New Disposal Ticket.
  5. Save & Close.

  • Unbilled Transaction is updated based on the modification.

 

Modify Miscellaneous Transaction Type (Non-Surcharge)

 

  1. Right click on the Miscellaneous Transaction.
  2. Click Modify.
  3. Add/Modify Miscellaneous Transactions window will open.
  4. Modify the transaction.
  5. Save & New to Add New or Save & Exit to close.

  • Unbilled Transaction is updated based on the modification.
